How to hand off work clearly to a colleague

Explain the current state, the important context, the next action and the open risk so a colleague can continue without reconstructing the whole history.

A useful handoff tells the next person where things stand, what matters, what they need to do next, and which open risk or condition they should not miss.

Four things to make recoverable

  1. Current state — what is done and what is not.
  2. Essential context — only what changes the next action.
  3. Next action — who does what.
  4. Open risk or condition — what could change the plan.

Example:

The mapping is complete except for two blocked records. Please run the reconciliation after the interface finishes. If either record still fails, leave the batch open and send the IDs to the support queue.

Rehearse the handoff

Record it once. On playback, pretend you are the colleague taking over: could you act without asking what to do next? Then change one thing and repeat with different wording.

A handoff may need documentation, links or detailed technical notes. Spoken clarity complements those artifacts; it does not replace them.
